How to change shipping address on Alibaba?
By Yaurapulse
Shipping, Customs & LogisticsChanging the shipping address on an Alibaba order is possible, but only if you act fast. The key question is whether the goods have shipped yet. Before shipment, the address can usually be changed by contacting the supplier. After shipment, changing the address becomes much harder, and for sea freight it may be impossible or very expensive.
Most address change problems happen because buyers do not double-check the address before paying. Once the deposit is paid and production starts, the shipping address is locked into the order details. Changing it later requires the supplier's cooperation and may incur additional fees.
Here is how to change the shipping address on Alibaba, depending on where your order is in the process.
Before paying the deposit: easiest to change
If you have not paid the deposit yet, changing the shipping address is trivial. The order has not been finalized, and no production has started.
In this stage, you can simply update the address in the order details before making the payment. Go to your order page, find the shipping address field, and edit it. Or send the new address to the supplier in the chat and ask them to update it.
This is the stage where you should double-check everything: the shipping address, the product specifications, the quantity, the price, and the delivery date. Once you pay the deposit, changes become more difficult.
Specify shipping methods, dispatch date, trade terms, and shipping address in the order details. These terms become part of the contract. If the address is wrong at this stage, it is your responsibility to correct it before paying.
After paying the deposit but before production starts
If you have paid the deposit but production has not started, you can still change the address by contacting the supplier directly. Send them the new address in writing through the Alibaba chat and ask them to confirm the update.
At this stage, the supplier has not yet arranged the shipping, so changing the address does not cost anything. The supplier just needs to update their records.
However, you should get written confirmation from the supplier that the address has been changed. Do not rely on a verbal promise. Ask the supplier to send you a message confirming the new address. This creates a record in case there is a dispute later.
If the order is a Trade Assurance order, you can also ask the supplier to update the address in the order details. The order details are the official record, so having the correct address there is important.
After production starts but before shipping
Once production has started, the supplier may have already arranged the shipping. In this case, changing the address is still possible but may take more effort.
Contact the supplier immediately and explain that you need to change the shipping address. If the supplier has not yet booked the shipping, they can update the address before the goods are shipped.
If the supplier has already booked the shipping, changing the address may require changing the booking with the freight forwarder or shipping line. This can usually be done before the goods are loaded, but it may take a day or two to process.
The key is to act fast. The closer you get to the shipping date, the harder it is to change the address. If the goods have already been packed and labeled with the old address, the supplier may need to re-label everything, which takes time and may cost money.
After the goods have shipped
Once the goods have shipped, changing the address becomes much more difficult. The process depends on the shipping method.
For express shipments, such as DHL, UPS, and FedEx, you may be able to change the delivery address by contacting the carrier directly. Express carriers often allow address changes before the final delivery attempt. There may be a fee for this service, usually around $10 to $30. Some carriers allow you to change the address online through their tracking portal, while others require a phone call.
For air freight, changing the address after shipment is possible but more complex. You need to contact the freight forwarder or the airline to change the consignee or delivery address. This may require documentation, such as a letter of authorization, and can take several days to process. The freight forwarder will need to coordinate with the airline and the destination handling agent.
For sea freight, changing the address after the goods have shipped is the hardest. The shipping address is tied to the Bill of Lading, which is the legal document of title for the goods. The place of delivery, the receiving party or consignee's address, should be the same as that on the Bill of Lading.
To change the consignee or delivery address on a sea freight shipment, you need to amend the Bill of Lading. This requires the cooperation of the supplier, the freight forwarder, and the shipping line. There is usually a fee for amending the Bill of Lading, typically $50 to $150, and it can take several days to process. In some cases, the amendment can only be done before the vessel arrives at the destination port.
If the vessel has already arrived at the destination port, changing the address may not be possible through the shipping line. The goods will be delivered to the address on the Bill of Lading, and you will need to arrange local transportation from there to your new address. This is usually cheaper than paying the amendment fee and waiting for the paperwork to process.
How the Bill of Lading affects address changes
The Bill of Lading, or B/L, is the most important document in international shipping. It serves as the contract of carriage, the receipt for the goods, and the document of title. The consignee name and address on the Bill of Lading determine who can legally take possession of the goods at the destination.
As a buyer, if you collect the cargo by yourself, the consignee is yourself. If you entrust someone else to receive the cargo for you, such as your agent or your local freight forwarder, then the consignee is the person you designate.
This means that changing the shipping address after the Bill of Lading has been issued requires amending the consignee information. The shipping line will not change the consignee without proper authorization from the shipper, which is the supplier. This is why you need the supplier's cooperation to change the address for sea freight shipments.
The Bill of Lading is also the document used for customs clearance at the destination. If the consignee information is wrong, customs may not release the goods to you. This is why it is critical to get the address right before the Bill of Lading is issued.
DDP vs FOB: how shipping terms affect address changes
The shipping terms you agreed on determine how much control you have over the shipping process, and therefore how easy it is to change the address.
Under DDP, or Delivered Duty Paid, the supplier is responsible for the entire shipping process, including freight, insurance, customs clearance, duties, and taxes, and delivery to your door. The supplier arranges the freight forwarder and the shipping. To change the address under DDP terms, you need to contact the supplier, who will then contact their freight forwarder.
Under FOB, or Free On Board, the supplier is responsible for delivering the goods to the port of shipment and clearing them for export. Once the goods are on board the vessel, the responsibility and risk transfer to you, the buyer. You are responsible for arranging the freight from the port of shipment to your destination. Under FOB terms, you can contact your own freight forwarder directly to change the address, without going through the supplier.
For new importers with relatively small shipments, using DDP shipping is often the simplest option. The DDP price includes the product cost, freight, duties, and taxes. The supplier takes care of shipping, customs clearance, and import taxes. You just wait for the goods to arrive. But this also means you have less control over the shipping process.
If you are using your own freight forwarder, you have more flexibility to change the address because you are dealing directly with the forwarder. But you also have more responsibility for the shipping process.
What to do if the supplier refuses to change the address
If the supplier refuses to change the address, first understand why. They may have already shipped the goods, or changing the address may cost them money.
If the goods have not shipped and the supplier refuses to change the address, this is a red flag. A reasonable supplier should be willing to update the address before shipment. You can escalate the issue by contacting Alibaba's customer service or opening a dispute.
If the goods have already shipped and the supplier cannot change the address, you may need to accept the delivery at the original address and arrange local transportation to your new address. This is usually cheaper and faster than trying to change the shipping address after shipment.
In extreme cases, if the address is completely wrong and the goods cannot be delivered, you may need to open a dispute. But this should be a last resort, as the dispute process takes time and may not result in a favorable outcome if the address error was your fault.
How to avoid address problems
The best way to avoid address problems is to get it right the first time.
Double-check the address before paying. Make sure the recipient name, street address, city, state, postal code, and country are all correct. Pay special attention to the postal code, as this is what carriers use for sorting. A wrong postal code can send your package to the wrong city.
If you are shipping to a business, include the business name and any suite or floor number. If you are shipping to a residential address, make sure the address is correct for the carrier's service area. Some carriers do not deliver to certain rural areas.
Use the full name of the recipient, not a nickname. Carriers may refuse delivery if the name on the package does not match the recipient's ID. For business shipments, use the business name as the recipient, not an individual's name.
If you are using a freight forwarder, confirm the forwarder's warehouse address and any special instructions for delivery. Some forwarders require a booking number or reference number to be included on the shipping label.
Get written confirmation from the supplier that the address is correct. Ask them to send you the shipping address as it appears in their system before the goods ship. Compare it to your intended address character by character. One wrong digit in a postal code or one missing apartment number can cause delivery failure.
Common address mistakes to avoid
There are a few address mistakes that cause more problems than others.
Using an old address. If you have moved recently, make sure to update your address in the order details before paying. It is easy to forget that the old address is still saved in the system.
Forgetting the apartment or suite number. For multi-unit buildings, the carrier needs the apartment number to deliver to the correct unit. Without it, the package may be returned to the sender or held at a local facility.
Using abbreviations that the carrier does not recognize. Write out the full street name and type, such as "Street" instead of "St," to avoid confusion. Most carriers can handle common abbreviations, but it is safer to use the full name.
Including incorrect city or state information. If the city and postal code do not match, the carrier may send the package to the wrong location. Always verify that the city, state, and postal code are consistent.
Changing the address for future orders
If you need to change the shipping address for future orders, you can update your default shipping address in your Alibaba account settings. This way, all new orders will use the correct address automatically.
To change your default shipping address, go to your Alibaba account settings and find the address book. Add the new address and set it as the default. You can also delete old addresses that you no longer use.
Keep in mind that changing the default address only affects new orders. Existing orders will continue to use the address that was specified when the order was placed.
Bottom Line
Changing the shipping address on Alibaba is easiest before you pay the deposit. After payment, it becomes harder, and after shipment, it may be impossible, especially for sea freight.
Before payment, update the address in the order details. After payment but before shipment, contact the supplier in writing and ask for confirmation. After shipment, contact the carrier for express or the freight forwarder for sea or air freight.
The best strategy is to double-check the address before paying. Get written confirmation from the supplier. And if you need to make a change, act fast, because every day that passes makes the change harder.
