How to cancel an order on Alibaba?

Returns, Refunds & Disputes

Canceling an order on Alibaba is possible, but how easy it is depends on where the order is in the process. Before the supplier ships, cancellation is straightforward. After shipment, cancellation becomes a dispute, not a cancellation. Understanding the difference saves you time and frustration.

Most buyers confuse canceling an order with opening a dispute. They are different processes. Cancellation applies to orders that have not shipped yet. A dispute applies to orders that have shipped but have problems, such as wrong products, quality issues, or non-delivery. Using the right process for your situation is the key to getting your money back.

When can you cancel an order on Alibaba?

You can cancel an order on Alibaba if the supplier has not shipped the goods yet. Once the supplier provides a tracking number and marks the order as shipped, you can no longer cancel the order directly. You would need to open a dispute instead.

There are several reasons you might want to cancel an order: the supplier is taking too long to ship, you found a better price elsewhere, you no longer need the product, or the supplier is asking you to pay outside the platform.

If the supplier has already shipped the goods, you cannot cancel the order. You need to wait for delivery and then either accept the goods or open a dispute if there is a problem. Even if you do not want the goods anymore, the shipping process has already started, and the supplier has incurred costs.

How to cancel an order before shipment

If the supplier has not shipped the order yet, the cancellation process is straightforward.

Go to "My Orders" and find the order you want to cancel. Select the order and then click the "Request Refund" button. This sends a cancellation request to the supplier.

After submitting the request, the seller will be given 7 days to respond to the proposal. Once the seller agrees with the cancellation, the system will refund automatically.

If there is no response from the seller within 7 days, or if you and the seller cannot reach an agreement in the system over 7 days, the order will be closed automatically.

If the seller rejects your proposal, they should ship out the package before the shipping deadline. But if they do not send it out by the shipping deadline, you can request the refund again. Your order will be canceled right away and you will be refunded within 24 hours.

So what you need to do is master the time schedule instead of worrying. Your refund will not be lost as long as you follow the process and track the deadlines.

What happens if the supplier asks to postpone shipment

Sometimes the supplier will request to postpone the shipment because they need more time to produce the goods. This is common, especially for custom orders or during peak season.

You can see the "Requests for postponing shipment" and the details in the "Awaiting Shipment" link in "My Orders." If you agree, the shipping deadline will be extended to the suggested date. If you disagree, the original delivery date will not change.

However, if the seller fails to ship within the original deadline, the order will be automatically canceled and you will get a full refund.

This is an important protection. If you disagree with the postponement and the supplier does not ship by the original deadline, you get your money back automatically. You do not need to open a dispute or take any further action.

But if you agree to the postponement, you are giving the supplier more time. If they still do not ship by the new deadline, the order will be canceled and refunded.

How to cancel a Trade Assurance order

For Trade Assurance orders, the cancellation process is similar but goes through the Trade Assurance system.

If the order has not shipped, go to "My Orders," find the Trade Assurance order, and click "Request Refund" or "Cancel Order." The supplier will be notified and has a set time to respond.

If the supplier agrees, the payment held in escrow by Alibaba will be refunded to you. The refund goes back to your original payment method.

If the supplier does not respond or rejects the cancellation, the order will remain active until the shipping deadline. If the supplier does not ship by the deadline, the order is automatically canceled and refunded.

Trade Assurance gives you an extra layer of protection because the payment is held in escrow. The supplier does not receive the money until you confirm receipt. If the order is canceled, the money is returned to you directly.

What if the supplier has already shipped

If the supplier has already shipped the goods, you cannot cancel the order. The order status changes to "Shipped" and the cancellation option is no longer available.

In this case, you have a few options.

First, wait for the goods to arrive and inspect them. If the goods are correct and in good condition, you can accept them. If you no longer want the goods, you may need to arrange a return, which can be expensive for international shipments.

Second, if the goods are wrong, damaged, or not as described, open a dispute. The dispute process allows you to request a refund, replacement, or partial refund.

Third, if the goods never arrive, you can open a dispute for non-delivery. The dispute team will review the tracking information and decide whether to issue a refund.

For goods received that do not meet the specified requirements, buyers can open a dispute with Alibaba and request a refund within 30 days from the delivery date. This 30-day claim period applies to Level 3 or below buyers. If you are a Level 4 or 5 buyer, the claim period extends to 60 days.

Canceling an order after payment but before production

If you have paid the deposit but production has not started, canceling is usually easier. The supplier has not yet invested in materials or labor, so they are more willing to cancel.

Contact the supplier directly and explain why you need to cancel. If the supplier agrees, they can cancel the order and refund your payment.

However, some suppliers may charge a cancellation fee to cover their administrative costs. This is more common for custom orders where the supplier has already purchased materials or started preparing for production.

If the supplier refuses to cancel, you can use the "Request Refund" button in your order. The supplier has 7 days to respond. If they do not respond or you cannot reach an agreement, the order will be closed automatically after 7 days.

The difference between cancellation and dispute

Understanding the difference between cancellation and dispute is important for getting the outcome you want.

Cancellation is for orders that have not shipped. The goal is to get a full refund without receiving the goods. Cancellation is usually faster and simpler than a dispute.

A dispute is for orders that have shipped but have problems. The goal is to get a refund, replacement, or partial refund for goods that are wrong, damaged, or not delivered. Disputes take longer because both sides need to submit evidence.

If you try to cancel an order that has already shipped, the system will not allow it. You need to open a dispute instead. If you open a dispute for an order that has not shipped, it will be treated as a cancellation.

Using the wrong process will delay your refund. Make sure you know whether the order has shipped before you decide whether to cancel or dispute.

How long does it take to get a refund after cancellation

If the supplier agrees to the cancellation, the refund is usually processed within 24 hours to a few business days. The exact time depends on your payment method.

For credit card payments, the refund usually appears on your statement within 3 to 7 business days. For PayPal, the refund is usually instant or within 24 hours. For bank transfers, the refund can take 5 to 10 business days.

If the order is automatically canceled because the supplier did not ship by the deadline, the refund is processed immediately. You should receive the money within a few business days.

If you open a dispute instead of canceling, the refund can take much longer, several weeks or even a month. This is because the dispute team needs to review evidence from both sides.

What to do if the supplier refuses to cancel

If the supplier refuses to cancel your order and the order has not shipped, here is what to do.

First, check the shipping deadline. If the supplier does not ship by the deadline, the order will be automatically canceled and you will get a full refund. You may need to wait, but the refund is guaranteed.

Second, if the shipping deadline is far away and you do not want to wait, contact Alibaba's customer service for help. Explain the situation and ask them to intervene.

Third, if the supplier is asking you to pay outside the platform or doing something fraudulent, report them to Alibaba. This can trigger an investigation and may speed up the cancellation.

Do not cancel the order and then send a new payment outside the platform. Some scammers will tell you to cancel the Trade Assurance order and pay them directly to avoid fees. This removes all your protection. Never agree to this.

What if you paid outside Alibaba

If you paid the supplier directly, outside of Alibaba's Trade Assurance system, canceling the order is much harder. Alibaba has no control over payments made outside the platform.

If you paid by credit card, you may be able to request a chargeback from your card issuer. Explain that the goods were not delivered and the supplier is not responding. Your card issuer will investigate and may reverse the payment.

If you paid by bank transfer, recovery is much harder. Once the money is in the supplier's bank account, you cannot reverse the transfer. You can try to negotiate with the supplier, but if they refuse, you have limited options.

If you paid by PayPal, you can open a dispute within 180 days of payment. PayPal is known for its strong buyer protection. If the supplier does not respond or cannot prove delivery, PayPal may refund you.

This is why paying through Trade Assurance is so important. Trade Assurance holds your payment in escrow, so the supplier cannot touch it until you confirm receipt. If you need to cancel, the refund is straightforward.

Canceling a sample order

Sample orders are usually easier to cancel than bulk orders because they are smaller and faster to process.

If you paid for a sample and the supplier has not sent it yet, you can cancel using the same process. Go to "My Orders," find the sample order, and click "Request Refund."

If the supplier has already sent the sample, you cannot cancel. You need to wait for it to arrive. If the sample never arrives, you can open a dispute for non-delivery.

Sample orders are usually paid by credit card or PayPal, which gives you additional chargeback protection. If the supplier does not deliver the sample, you can also contact your card issuer or PayPal for a refund.

Common cancellation mistakes

There are a few common mistakes buyers make when trying to cancel an order.

Waiting too long. If you want to cancel, do it as soon as possible. The closer you get to the shipping deadline, the more likely the supplier is to ship the goods, making cancellation impossible.

Agreeing to postponement when you want to cancel. If you agree to extend the shipping deadline, you are giving the supplier more time. If you actually want to cancel, do not agree to the postponement. Let the original deadline pass and get an automatic refund.

Canceling and paying outside the platform. If a supplier asks you to cancel and pay directly, refuse. You will lose all Trade Assurance protection.

Not tracking the deadlines. The supplier has 7 days to respond to your cancellation request. If they do not respond, the order closes automatically. If you forget about the order, you may miss the window for automatic cancellation.

Bottom Line

Canceling an order on Alibaba is easiest when the order has not shipped. Use the "Request Refund" button in "My Orders," and the supplier has 7 days to respond. If they agree, you get a refund. If they do not respond or you cannot agree, the order closes automatically.

If the supplier has already shipped, you cannot cancel. You need to wait for delivery or open a dispute. For non-delivery, wrong products, or quality issues, the dispute process is the way to get a refund.

The most important thing is to track the deadlines. If the supplier does not ship by the deadline, the order is automatically canceled and you get a full refund. Do not agree to postponements if you actually want to cancel.
